Booking & services setup

Set up services, staff and booking settings so customers can book appointments online.

Booking lets service businesses (spa, salon, nail, clinic…) take appointments online. To get started, complete 3 steps: create services, add staff, then assign services to staff.

Set up booking in 3 steps

1. Bookings

The Bookings page lets staff manage all customer appointments – both self-booked and created manually. Staff can:

  1. Confirm customer bookings.

  2. Track bookings and customer details.

  3. Update booking status (Pending, Checked in, Completed, No-show) for smoother scheduling and service.

Switch between Calendar and List view, pick a shop and date, or click New booking to add one manually.

Customers can only book once the shop has opening hours set (in shop settings) and staff have working hours.

Q: When a customer books, where does the shop confirm or get notified?

A: It depends on the Auto-confirm bookings setting:

  1. Auto-confirm on → bookings are confirmed automatically as soon as the customer books. No manual action needed.

  2. Auto-confirm off → the shop must review and confirm each booking, in one of 2 ways:

    • Admin dashboard: open Bookings to see customer bookings and confirm them.

    • LOOP POS app: track and confirm bookings directly in LOOP POS.

2. Services

Step 1: Go to the Admin dashboard → Booking → Services.

Step 2: Click Add service and fill in:

Field

Description

Service name *

Name shown to customers, e.g. Body massage 60 min.

Category

Category for the service.

Price *

Duration (min) *

Service time in minutes, e.g. 60.

Buffer after (min)

3. Staff (technicians)

Step 2: Click Add staff and fill in:

Job title / position.

Shop where the staff member works.

Specialties

Skills or services they perform. Press Enter to add; up to 10.

Click Create. Customers can then choose Any staff or a specific staff member.

Create at least one service first – the Add staff step unlocks after step 1.

4. Packages (coming soon)

5. Staff performance

The Staff performance page helps you track and evaluate each technician by customer visits, utilisation, revenue, advance bookings, requested-staff bookings and service quality.

6. Booking settings

Set up payment, time slots, confirmation and cancellation policy in Booking → Settings.

Payment

How customers pay when booking:

  • No payment at booking: customers book for free and pay in store. 👉 Good if you want customers to pay after the service.

  • Deposit: customers pay part of the amount via ZaloPay when booking; the rest is paid in store. 👉 Good for securing bookings. 🇻🇳 Vietnam only.

  • Full payment: customers pay the full amount via ZaloPay when booking. 👉 Good if you require prepayment. 🇻🇳 Vietnam only.

Deposit and Full payment need the ZaloPay Gateway set up in Settings → Integrations (see "General settings").

Scheduling

  • Slot interval: 5 / 10 / 15 / 20 / 30 / 45 / 60 min. E.g. 30 min → customers can pick 09:00, 09:30, 10:00… 💡 Choose an interval that suits your service durations.

  • Minimum lead time (min): how far ahead customers must book. E.g. 120 → at least 2 hours ahead.

  • Max advance (days): how far into the future customers can book. E.g. 30 → up to 30 days ahead.

  • Default buffer after (min): rest/prep time after each service before the next booking. E.g. 15 → 15 minutes are kept free after each service. 💡 A service's own buffer overrides this default.

Confirmation & cancellation

  • Auto-confirm bookings: confirm bookings automatically once the customer books. If off, the shop checks availability and confirms manually.

  • Cancel cutoff (hours): latest time before the appointment that customers can cancel. E.g. 4 → at least 4 hours before.

  • Remind before (hours): when customers get a reminder. E.g. 24 → reminded 24 hours before.

  • Allow 'any staff': let customers choose "Any staff" instead of a specific person. 👉 Good when several staff perform the same service. 💡 If off, customers must pick a specific staff member.

Click Save to apply.
